A Proven Methodology
Following the crowd may not seem very exciting, but when it comes to designing and implementing Dynamics NAV systems, we wouldn’t have it any other way. The crowd, in this case, consists of all the hardworking people who have been involved in over 100,000 Dynamics implementations worldwide, whose collective experiences ultimately work their way into Microsoft’s Sure Step, a set of processes and tools designed to help Dynamics partners “get it right”.
Sure Step doesn’t solve all the challenges of a successful ERP implementation on its own. That still requires good listening skills, good teamwork between the NAV partner and the client, and a lot of dedication and hard work. But it is a proven recipe for success, one that should be followed as closely as possible. As you might imagine, Sure Step is a big subject. To assist you in understanding it, we have placed some links in the sidebar on the right. But, to be honest, the easiest way to understand it is to request a demonstration, which we’ll gladly provide over the internet.
Our Proposal Process
So what exactly happens when you contact us for possible design and implementation services? Our first step is to hold exploratory conversations with you. If you’re not already a client, we need to understand who you are and what you do as a company. Similarly, we’d like to describe who we are and what we do as a company. When that’s accomplished, we’ll then attempt to get a clear understanding of the work you’re contemplating. No business has taken place at this point. To be honest, just as you are assessing us as a potential supplier at this stage, we’re assessing you as a potential customer, trying to gauge whether we can work together to make the proposed project a success. If both teams feel good about each other, you’ll be asked at this stage to approve the a phase of chargeable work consisting of:
- Requirements Gathering
- Gap Analysis
- Research on Gap Solution
- Implementation Project Plan
- Financial Quotation (we don’t charge for this part)
Here is a breakdown of the individual steps:
Unlike the initial discussion with a NAV partner, the goal of the Requirements Gathering phase is for the partner to acquire a detailed understanding of your requirements, process by process, task by task. This understanding should be expressed in a written document, which you should be asked to approve, before proceeding to Gap Analysis.
Once a NAV partner understands your requirements at a detailed level, the next task is to compare these requirements to Dynamics NAV’s base functionality. Any requirements not addressed by this base functionality are identified as gaps and documented as such.
Research on Gap Solutions
It is the partner’s responsibility to find solutions for each gap identified in the Gap Analysis phase. These solutions may involve any combination of the following:
- third-party add-ons;
- business process changes;
No actual design work is done at this the stage. The objective here is more to identify the nature and scope of the required solutions.
Implementation Project Plan
Once the NAV partner has identified solutions to each gap identified in the Gap Analysis stage, the next step is to assemble all of the information gathered so far into an Implementation Project Plan consisting of a written description of the following:
- The Dynamics NAV software needed to meet your business requirements (i.e. base package, additional modules, type and number of licenses, etc.).
- Any required third-party add-ons.
- Any required customizations.
- Any infrastructure hardware or software needed to support the proposed solution.
- Training requirements.
- Hosting options.
- Support options.
- A breakdown of the work into distinct phases, if applicable.
- A list of the proposed personnel required, both from us and you, along with a description of their roles and expected time commitments.
- A proposed project schedule.
- All supporting information (including any documentation from the other phases).
This document constitutes your paid deliverable. It must be complete enough that, should you decide to request quotes from competing partners, it should provide those partners with all the information they require without the need to perform any additional requirements gathering, gap analysis, etc.
The financial quotation is usually included as part of the Implementation Project Plan, but is described separately here because there are times when you will request partners to provide this item separately, i.e. if you’ve already paid for a complete project plan.
- Firm prices for all software licenses and hardware purchases.
- Estimates for all proposed customizations. If a cost range is estimated, the range should be relatively narrow.
- Financing options.
- A proposed payment schedule.
Should you select us as the partner to complete the work in the Implementation Project Plan, our designated project manager will immediately assume control of the project on our end, and begin implementation in accordance with Sure Step (or, more accurately, to continue the implementation this way, as creating the Implementation Project Plan constitutes the beginning phase of Sure Step). As mentioned, Sure Step is a big subject and beyond the scope of this web page. We have placed some links in the sidebar to resources that can help you better understand Sure Step, but the most efficient way to get a basic grasp of the process is to ask us to demonstrate it to you.
The Delivery (and associated measures of success)
When we have completed the implementation, (i.e. all the steps in Sure Step, including training, testing, go-live, etc.), we, like you, are focused on making it a complete success. What makes it a success? Here are the measures we use:
- Was the system go live as planned, without any problems?
- Does the new system (or customization, add-on, etc.) function as promised?
- Was the project completed on-time?
- Was the project completed within budget?
- Did the client’s staff receive the agreed-upon training, and are they now adequately trained?
- Was the project properly documented?
